Photographs of Children / Children’s work
- I acknowledge that photographs of my child or items of my child’s work completed at the Kiwi Club programme may be used at a later date for training, marketing and promotional purposes, also including being posted on Kiwi Club closed Facebook group page. I hereby give my consent for this unless advised otherwise.
Aimyplus
Aimyplus is our registration/ booking system; We require all parents to make their own bookings using the aimyplus system,
there will incur an administration cost of $6 for all bookings made by staff and $10 charge for parents making multiple changes to the same booking. You can view your current bookings and booking
history on your aimyplus dash. . If you are unsure of a pending booking please check there first. If a mistake has happened please email us straight away and we can alter your booking.
Payment Terms and Conditions
- Fees are our only source of income. To operate efficiently we require that our fees be kept up-to-date.
- I understand that by making a Permanent Enrolment/booking, I will be charged for the session booked, we do charge for absent and or sick children and public holidays if your child would normally be booked in.
- For those that wish to retain a regular booking payment is required 1 weeks in advance. Casual payments are due when bookings are made.
- If parents are wanting to cancel or change bookings, Kiwi Club needs one week’s notice- to be only charged admin fee of $6.00 per session that you are canceling, in writing- Please email, casual bookings require 24 hours notice via email to be not charged the session rate- you will still be charged the admin fee of $6.00 per session canceling.
- In the event that your payment is dishonoured for any reason then you shall be liable for any dishonour fees incurred by Kiwi Club ASC LTD.
- I understand that outstanding accounts will be passed onto a Collection Agency and that I am liable for any legal, collection and /or fees associated with collection actions to recover any overdue amounts on accounts.
- Please be aware that using the gateway "Ezidebit" online payment system, which you can pay your fees with visa. Payments are processed weekly on Fridays, this can cause a delay in your payment showing up on your dash.
Late pick-ups
Our Programmes operate from 7.15-8.30am, 3.00-5.30pm and 7.15am-5.30pm, should an emergency occur and you are
unable to collect your child on time, then please advise us on 022 392 5895. Staff will remain at school with your child until someone is able to collect your child. However you will incur a Late pick fee, - $1.00 per minute of lateness. You will also be charge if you are collecting your child outside your booked session time slot but only until the next closest time slot. When signing out your child, times
are recorded via the Aimyplus system and invoices are generated from this.
Holiday Programme
Registrations/ bookings close 5pm Wednesday before the programme starts and cancellations made after this date are not
eligible for a refund unfortunately due to organising staff/children ratios, purchase materials and pre pay for trips.
There are no refunds for children missing the bus on trip days as times for bus departures are clearly
stated on the holiday program flyer. We are reluctant to take late bookings after our close off date, due to staffing ratios/
material supplies/ trip bookings. Emergency bookings will be the discrepancy of Management. Fees are payable before the start of the programme, unless a payment arrangement has been made via email with Management.
All parents enrolled into the holiday program are asked to read & sign our Holiday Program Wavier/ Excursion form before confirming any bookings, details of the excursion will be explained with the form.
December Bookings
Our normal one weeks written notice is excluded in December, due to a lot of families cancelling care the last two weeks of school. Any cancelled days for December will need to be informed in writing at the time of booking for the full term. Unless you have booked casual care.
Work and Income OSCAR Child Care Subsidy
This is a financial assistance families can receive, which is paid to kiwi club depending on your circumstance/ income/
work/study hours. Please be aware that the subsidy does not always cover the full amount of fees. Please talk to
management about this. Parents are liable for all outstanding fees and chasing work and income for fees not paid.
Subsidies are paid one week in arrears and can take unto 2-3 weeks to be processed by kiwi club due to this. For

Sick Children
Please do not send along sick children. If a child becomes ill during programme hours, parents will be phoned and asked to collect them as soon as possible.
Privacy and Confidentiality
- Where you are an individual the authorities under this clause are authorities or consents for the purposes of the Privacy Act 2020. You shall have the right to request from Kiwi Club ASC a copy of the information about you retained by Kiwi Club ASC LTD and the right to request Kiwi Club ASC LTD to correct any incorrect information about you held by Kiwi Club ASC LTD.
- I acknowledge that the information contained herein is confidential, and pursuant to the Privacy Act, will only be used by the Kiwi Club ASC LTD team to effectively care for my child/ren and not used or distributed for any other purposes. Representatives from the Ministry of Social Development- Oranga Tamariki- Ministry for children,
- Approvals team may view this information as part of the programme assessment process and also information maybe shared with Rototuna Primary school for the well being of your child.
- Kiwi Club ASC can share your information if we are concerned about a child or young persons wellbeing as stated in The Oranga Tamariki Act 2019 and The Family Violence Act 2018
- When I accepted the terms & conditions on enrolment, I have read and understood the information about the programme that I have been given and acknowledge that I have had the opportunity to ask questions and discuss any concerns. I will take this opportunity, if necessary, at any stage in the future.
- I accept responsibility for being informed about programme activities (and will refer to activity information posted at the programme), as well as any notices issued by the programme. I understand that it may be possible (where the programme schedule allows) for my child to opt out of some programme activities, but on the whole it is the philosophy of the programme to encourage children to participate in the full range of activities on offer.
- I give consent for my child to participate in the programme activities. I understand that there are risks associated with my child/ren participating and I accept that, to the extent permitted by law, the programme management and staff will not be liable for accidental injuries (and any associated losses) which can occur, especially when children are involved in active play. To minimise the risk of accidents, the programme has safety procedures, including rules and boundaries for children’s behaviour, that will be consistently applied. These procedures are in accordance with the MSD Standards for OSCAR, under which this programme is approved.
- I agree that, while the programme will exercise all due care, the programme and staff will not be liable for accidental loss or damage to any personal property that a child has at the programme.
- I understand that I must keep the programme fully informed about any changes to personal information provided on the enrolment booking and I will provide complete information about any allergies and/or medical conditions that my child/ren has.
